Engineering New Zealand, a non-profit representing over 22,000 professional engineers, had made some moves into the cloud but was being held back by legacy IT approaches. Their hybrid environment, with a mix of Microsoft 365 and on-premises file servers, made it difficult for people to find information. A rapid shift to remote work had also led to "Teams sprawl," with a large number of unorganised Teams creating notification overload and unclear communication channels.

With limited user training and a lack of clear governance, they were not getting the full value from their Microsoft 365 investment and needed a partner to help them build a more effective and secure way of working.

    Discover & Design

    Our engagement began with a thorough discovery phase, led by our business analysis team. Through workshops and user surveys, we gathered requirements while our Microsoft 365 lead practitioner conducted a best-practice review of their existing environment. Based on these findings, we designed a solution that streamlined their team structure, established clear naming conventions, and provided guidance on data mapping for a smooth migration to a well-organised SharePoint structure.

    Implementation & Migration

    Following a pre-migration data cleanup by the Engineering New Zealand team, we moved to implementation. Our team put the new, streamlined file and tenant structure in place, along with a clear set of governance policies for data sharing, team creation, and security controls, ensuring a robust and well-managed digital environment.

    Training & Adoption

    To ensure the change would stick, we partnered with Digital Workplace Results to deliver comprehensive remote user training. These sessions covered the new team structure and core Microsoft 365 functionalities, empowering staff with the knowledge and confidence to embrace the new tools and work more productively.
