about the role

We're looking to hire an office & business administrator in a part-time role. We’d like someone to help us for up to 30 hours per week. (We’re open to you working 25 or 30 hours per week, depending on your availability/appetite.)

This role reports to the Finance and HR Director and works closely with our projects and sales teams as needed.

The ideal candidate will hold excellent written and spoken communication skills, be friendly and approachable, and be more than happy to get things done to help us keep our office and people running at their best. 

the role's responsibilities:

  • Office and kitchen/food supplies inventory and ordering
  • Client hardware and software licencing procurement support
  • Answering and directing general telephone calls and emails
  • Greeting and directing visitors
  • Coordinating meetings and preparing minutes
  • Managing conference, travel and accommodation bookings
  • Managing office health and safety and maintenance coordination
  • Commercial premise’s contract and outgoings management
  • Assisting in preparing reports and presentations
  • Helping to maintain records
  • Helping us run team social events and people culture initiatives
  • Other duties as required from time to time

This role will be based at our central Hamilton office.

skills and experience

We’re also looking for someone with the following skills and experience:

  • Proficient with word processing, presentation or spreadsheet software
  • Experience with project management or CRM tools would be beneficial, but not essential
  • Previous experience in administration or the role’s responsibilities is beneficial but not essential
  • Related office management or HR professional qualifications would be a total bonus
